Terms and conditions

1. About Booking Our Tours

1.1 Upon email confirmation, Beardbarian Entertainment Tours commits to fulfilling the confirmed booking.

1.2 Payments for our tours must be made online via the payment options provided or, if agreed in advance, in cash to the guide at the start of the tour.

1.3 For personalized tours, invoices must be paid within seven (7) days of the invoice date and always before the tour begins. If payment is not received by the due date, interest of 1% per month will be charged automatically. Every started month counts as a full month. Additionally, a flat-rate fee of 20% of the invoice amount (minimum €100) will be due. Any legal costs incurred for non-payment are the responsibility of the customer.

1.4 If Beardbarian Entertainment Tours is unable to deliver the scheduled tour due to force majeure (e.g., extreme weather, strikes, unforeseen restrictions), the customer may either reschedule or request a full refund. Extreme weather only counts as force majeure when ascribed as such by news report or insurance. 

1.5 If the customer wishes to cancel a booking, we will attempt to reschedule or issue a refund at our discretion. However, we do not guarantee refunds for voluntary last-minute cancellations.

1.6 In case of disputes, only the courts of Dendermonde, Belgium have jurisdiction, and Belgian law applies.

2. Private Tours

2.1 Private tours are exclusive guided tours booked for a single group. A confirmation email will be sent automatically upon booking. If you do not receive it, please check your spam/junk folder or contact info@beardbarian.be.

2.2 Customers should have their confirmation email accessible on their smartphone or in print. The guide may request a valid photo ID for verification.

2.3 Children under 16 years old must be accompanied by an adult (parent/guardian/teacher) for the entire duration of the tour.

2.4 Unless otherwise agreed, private tours are limited to 10 participants per guide. For larger groups, multiple guides may be required.

2.5 Tour prices cover the guide’s services only. Food, drinks, transport, entry fees, and additional expenses are not included unless specifically mentioned.

3. Cancellation & Refund Policy

3.1 Customer Cancellations:

  • Cancellations more than 72 hours before the scheduled tour: 90% refund (10% retained as an administrative fee).

  • Cancellations between 48-72 hours before the tour: 50% refund.

  • Cancellations within 48 hours of the tour start or no-shows: No refund.

3.2 Amendments to Bookings:

  • Changes requested more than 72 hours before the tour may be subject to a €10 administrative fee.

  • Changes requested within 72 hours may incur a €20 fee, depending on the request.

3.3 Late Policy:

  • If the group is more than 10 minutes late, the waiting time is deducted from the total tour length. A guide can decide to add this time according to his or her discretion.

  • If no contact is made within 15 minutes of the scheduled start time, the group is considered a no-show, and no refund will be provided.

4. Participation & Liability

4.1 Participation in Beardbarian Entertainment Tours is voluntary. Our guides reserve the right to refuse service to any individual or group at their discretion.

4.2 While we take every precaution to ensure safety, Beardbarian Entertainment Tours, its employees, contractors, and partners are not liable for any injuries, loss, damage, or inconvenience sustained during our tours.

5. Third-Party Tours & Activities

5.1 Some tours or activities may be operated by third-party providers. In these cases, we clearly state: "This tour is operated by our partner [Company Name]."

5.2 Any cancellations, disputes, or refunds for third-party tours are subject to the partner's policies.

6. Invoicing & Payments

6.1 Unless otherwise stated, invoices must be paid within 30 calendar days to:

6.2 Late payments will incur interest of 15% per year, calculated from the invoice due date.

6.3 If payment is overdue, collection costs of 15% of the invoice amount (minimum €50) may be charged.

6.4 Any complaints must be submitted within 8 days of receiving the invoice.
